Position Summary: This Administrative Assistant position will be focused on two key areas of the school (1) Human Resources and (2) Development Office and serve as the primary administrator of two software systems Ascentis (HR) and Donor Connect (Donors). The Human Resources role will use Ascentis to manage all benefits, timekeeper, recruiting, onboarding, and along with recordkeeping of all human resource department policies, procedures, and processes for the School. The HR functions of this role will work closely with the Director of Finance. Next, this role will also provide support to the Development Office by overseeing the donor management system (Donor Connect) to include but not limited to donor contact lists and cultivation initiatives, donation recordkeeping, campaign communication and coordination for efforts and initiatives supporting the School’s fundraising efforts as well as events and gatherings aimed at donors and potential donors. The Development Assistant functions of this role will work closely with the Head of School.

Human Resources Clerk
Primary Administrator of the HRIS of the School, called Ascentis.
Oversee and process payroll twice per month for all employees
Support the compensation process—analysis, market data, surveys
Assist in the administration of performance management process
Tracking of all reviews, assist in eligibility determination for all benefits, incentive and recognition programs; Productivity and review tracking with appropriate follow-up.
Assist the Director of Finance with employment offers and contracts
Support the benefit process - Analysis, design and selection of benefits and support open enrollment
Employee Engagement - Creation and coordination of programs - wellness committee, birthday recognition, life event recognition and support.
On-Boarding/Employee Relations: Create new employee process include new hire letters/promotion letters/transition letters and all applicable on-boarding information; Conduct on-boarding seminar; Counseling and corrective action tracking—drafting performance related warnings and tracking receipt of all warnings.
Assist in the creation, coordination, implementation and tracking of Human Resource training - at work- non-harassment/non-discrimination training; CPR and First Aid, any and all compliance training.
Development Office Assistant
Oversee and track all gifts to the school including, tracking in donor management system, receipts, thank you cards, donor mailing lists, tracking at development events etc.
Assist the Director of Finance with annual audit prep work regarding donation and pledge record keeping
Oversee the Deter’s Scholarship paperwork process, provide award letters and tracking.
Produce Year End giving letters and produce formal communications to donors per policy and as directed.
Administrative Support - Support Director of Finance and Human Resources where and when needed; Tracking information; Filing, research, recordkeeping, etc.
Provide support and assistance to the Head of School and/or Development Director for all fundraising campaigns, initiatives, events, mailings, etc.
The position will also proactively maintain positive employee relations and work to ensure worker satisfaction through education of Human Resources policies and by fostering a positive work environment. This position will be highly organized, detail oriented and most importantly personable and approachable.
Professional experience in the administration of a non-proft organziation, specifically the Business Office is perferred.
Bachelor’s degree is required. Perference to a degree in Accounting, Human Resources or related degree.
Outstanding verbal and written communication skills including excellent phone etiquette.
Superb time management and multi-tasking skills is required.
Data Entry accuracy and attention to detail in numbers and written communication.
High Proficiency in Microsoft Suite, Google Suite, Quickbooks, RenWeb / Donor Connect
